To provide admin support in relation to compliance for Health and Social Care, Childhood Studies, Social work and Counselling and support for procurement in the area of Sport. 

 

 

MAIN DUTIES & RESPONSIBILITIES 

Process and Performance Management   

  • To act in adherence with operation procedures in relation to the delivery of a quality service within the Curriculum Area  

  • To comply with sector, employer, regulatory body, awarding body and course requirements, a number of compliance requirements exist.  These include:  

  • Quality assurance evidence of placement to include attendance monitoring of students in educare settings  

  • Access NI for every student within the CAM areas  

  • SOSCare check which involves administering, monitoring and tracking for each student. To lead, manage and administer this process and maintain tracking records for quality / compliance audit.  

  • Indemnity cover or an approved alternative, for insurance purposes. To lead on progressing with placement providers and students, administer and maintain tracking and reporting systems in relation to this information.   

  • Risk Assessments associated with each setting to maintain tracking systems.  

  • Risk Assessments associated with individual students, based on identified needs / disabilities etc.   

  • Collating, verifying and managing primary documents with the Curriculum Area;  

  • Evaluating, analysing and reporting on statistical information obtained from all College information systems including using the College’s reporting tool (Qlikview) and Awarding bodies;  

  • Validating and correcting student data;  

  • To maintain quality assurance documentation relating to the curriculum area.  

  • To support the delivery of the College Admissions and Retention process.  

  • Robust tracking of documentation during each of the above processes.    

  • Liaise with CAMs, course coordinators and regular updating of student status to ensure eligibility of students for placement and suitability of placements in line with regulatory body / regulated setting requirements   

  • Liaise with Belfast Met Learner Services personnel with regard to progress of Access NI checks and associated risk assessment processes  

  • Liaise with Social Services with regard to progress of SOSCare checks  

  • Liaise with placement providers with regard to indemnity / insurance cover, risk assessments and quality assurance protocols.   

  • Attend meetings at regional level regarding BMC processes and protocols and assure BMC compliance in regard to protocols in line with strict university and NISCC requirements.   

Procurement and Contract Management  

  • To act in adherence within Financial Operation procedures and guidelines to include:  

  • Purchasing materials and resources as directed by Line Manager or Curriculum Area Manager  

  • Ensuring that invoices and purchase orders are properly completed, authorised and passed to finance for payment;  

  • Processing and preparing income and expenditure records as directed;  

  • Booking facilities, trips, bus hire and other bookings related to the CAM area  

  

Student Attendance Recording/Monitoring  

  • To support the Snr Departmental Administrator and CAMs in relations to student attendance including:  

  • Monitoring, Evaluating and Reporting on student attendance following College guidelines  

  • Establishing and developing absence tracking system for each student in the curriculum area  

  • Ensuring that the exit interviews are carried out for all student leavers  

Data Management  

  • To organise and maintain computerised and manual record keeping systems including those for student-related statistics including student transfers, refunds and withdrawals.  

  • Investigate and resolve errors identified from CDR and college validations as directed.  

General 

  • To contribute to the achievement of the College’s mission, values and strategic directions.  

  • Participate in the Colleges performance appraisal system 

  • Participate in College developments, attend internal and external meetings and training programmes required 

  • Adhere to general standards of conduct embodied in College policies 

  • To implement and embed the College’s equality and diversity policies and respond to its equality and diversity duties as they relate to all stakeholders. 

  • Act, if directed as fire marshal or warden 

  • Carry out, if directed, the role of first aider 

  • To undertake such other relevant duties as may be reasonably expected of the post holder.
