To support the International Manager in a range of activities, including the development, co-ordination and administration of College EU / International funded programmes and support the processing of international student applications.

Duties and responsibilities 

  • Supporting and assist the International Manager and internal college departments in developing a pipeline of international projects and opportunities in line with the International Framework 

  • To provide administration support on the preparation of project bids and proposals 

  • To provide administrative support for ensuring compliance in line with grant agreements and letters of offer and auditing requirements 

  • Assisting the preparation of project related claims to funders with necessary supporting documentation, tracking income and expenditure relating to projects 

  • To assist in the co-ordination and support of international inward visits and delegations as well as outward mobility projects. 

  • Maintain and update contacts and activities on the CRM system 

  • To assist in maintaining up to date information on the website for International students and project case studies 

  • To provide support on promoting international student recruitment 

  • To assist with UK Visa Immigration Compliance in maintaining the College’s current systems and procedures in relation to ensuring compliance as a Tier 4 Highly Trusted Sponsor.   

  • To assist in reviewing the College’s processes and practices in relation to ensuring the effective attendance and monitoring of the International Tier 4 students. 

  • To contact international students across a number of academic departments in order to effectively the monitor their attendance.   

  • To update reports on the attendance monitoring of international students across a number of curriculum areas within the College. 

  • To assist with UK Visa & Immigration compliance ensuring that the substantial risks associated with non-compliance are mitigated.  

  • To assist with the Admissions Team and other professionals regarding Tier 4 Sponsor compliance issues.  

  • To provide guidance to International students and promote the services in the college 

  • Assist as a central reference point for all Tier 4 related compliance and guidance matters.   

  • To ensure the effective management of risk through the implementation and monitoring of related policies and procedures.   

  • To process applications from international students.  

  • To assist in creating content for print and social media and on-going social media management relating to implementation of the International Framework and International student recruitment 

  • Organising room bookings, catering and travel as and when required by the International Manager 

  • Carry out any other duties as directed by the International Manager 

 

 

Performance Management and Continuous Improvement  

 

  • To assist on compliance in line with grant agreements and letters of offer 

  • To assist on any associated risk levels in relation to the Tier 4 license. 

  • To assist the International Office in ensuring data quality and integrity in areas affected by immigration legislation in relation to international student recruitment. 

  • Assist in the effective implementation of public procurement exercises (development of specifications and call documents etc) related to implementation of International projects and programmes in compliance with the regulatory framework for procurement, as per EU and UK Public Procurement rules and funding conditions  

  • To assist the International Office in ensuring clear and effective communication with academic schools in relation to the appropriate attendance and monitoring of Tier 4 international students.  

  • To assist in developing a set of operational procedures in relation to the Centre for Economic Development and Social Inclusion 

  • Establish and manage the International Office’s filing system and maintain the records of the Department and ensure that up to date information is held and easily accessed on International students and projects 

  • Compile and maintain accurate and up-to-date databases for the International  Office.  

  • To raise awareness of the responsibilities of working on the College’s UK Border Agency Sponsor Licence  

  • To ensure students are aware of their/our responsibilities under Tier 4 sponsorship, such as:  

  • Attendance standards vs risk of being reported to UK Border Agency;  

  • Academic progression requirements for on-going studies in the UK;  

  • Working rights and restrictions.  

  • To support students who require visa extensions.  

  • To drive continuous improvement and to promote a culture of innovation in support services.   

  • To ensure the service meets and/or exceeds requirements for all internal and external quality assessments and inspections by funders and auditors 

  • To ensure that all procurement processes relating to the International Office are adhered to including quotes, purchase orders and invoices are properly completed, authorised and passed to the Finance Department and filed. 

 

 

External Links and Partnerships  

  

  • To provide processes and procedures to stakeholders, other education providers, employers, professional bodies, referral agencies and appropriate Government departments.   

  • To provide support on requests and administrative returns to Department for Economy 

  • Develop strong working relationships with team members, as well as across the college and external partners to ensure that the International objectives are met  

  • To interact with all key project partners, establishing an effective internal and external network of contacts 

  • To provide support on inward and outward international visits and programmes 

  • To keep up to date contact details for regional and national UK Border Agency offices in order to ensure College compliance with regard to systems and procedures.  

  • To keep up to date records on external contacts on the College CRM system  

 

  

General  

  

  • Please note: Local, national and International travel is required with this post and travel is a requirement of this post. 

  • Represent the College at appropriate meetings and events as required by the International Manager 

  • Contribute to the achievement of the College’s mission, values and strategic directions through the successful implementation of the International Framework 

  • To implement and embed the College’s equality and diversity policies and response to its equality and diversity duties as they relate to all stakeholders  

  • To promote, implement and ensure compliance in the implementation of International Project with all statutory obligations and College policies and procedures in particular the College’s Equality Scheme and Equal Opportunities Policy and actively promote quality and good relations in all aspects of college business  

  • Act, if directed, as a Fire Marshall or Fire Warden as required and the role of First Aider (subject to College policy & procedures). 

  • To promote, implement and ensure compliance with all statutory obligations and College policies and procedures in particular the College’s Equality Scheme and Equal Opportunities Policy and actively promote equality and good relations in all aspects of college business.
