Relatives for Justice seeks tenders for Graphic Design Services. Relatives for Justice is a non-profit organisation, founded in April 1991. The beneficiaries of our work are individuals who have been directly bereaved and/or injured as a result of conflict related actions.

Scope of Contract

Relatives for Justice seeks tenders for Graphic Design services for our organisation. With fast moving and evolving requirements, the summary list below is indicative of some of Relatives for Justice’s potential annual requirements:

Company reports: for example, Annual Reports, Strategic plans and Family report booklets.

Company Stationery: for example, Letterhead templates, business cards and presentation templates

and slides

Promotional material: for example, Full colour A4 or A5 flyers or pamphlets. Information folders including A4 or A5 inserts and information booklets and leaflets.

 

 

Tender Requirements

We require tenders from individuals or companies that can deliver the services as outlined below:

  • Services for the design of publications should include print-ready and web-optimised PDF files of finished documents for use on social media platforms and email.
  • Adaptation of text provided by Relatives for Justice (in word format) will require design/layout by you and enhancement of photos/images for use on all material. Layouts processing and text and images should be included in these services.
  • Provision of high-quality hard copy or high-resolution PDF visuals of printed matter for Relatives for Justice approval is required.
  • Attention to detail and excellent time management skills are required to ensure all requested pieces of work are completed in a professional and timely manner.
  • To help ensure our design needs can be met, Relatives for Justice reserves the right to create a bank of graphic designers to assist with our full design needs.

 

Review

The length of the contract will be 12 months with the option to extend by two further one-year periods.

 

Evaluation of Proposal

The contract will be awarded based on the most economically advantageous proposal applying the following award criteria with allocated scoring percentages.

 

Selection Criteria

Tenderers for this project must meet all selection criteria below:

  • Supply of 2 sample pieces                                             PASS/FAIL

Award Criteria:

  • Cost charged at an hourly rate inclusive of VAT and any additional cost that may apply (80)
  • 2 examples of previous work that illustrates competence in the tender requirements (20)

Total marks available 100

 

Quantitative Assessment

The following formula will be used to evaluate price/cost.

  1. Lowest price tendered will be awarded the maximum score available (80)
  2. To calculate the score for the remaining tendered price/s, the following formula will be applied.  The lowest tendered price divided by the tenderer’s price (to the nearest £1) multiplied by 80.

Confidentiality

Due to the sensitivity surrounding the work carried out within Relatives for Justice, complete confidentiality and a non-judgmental approach should be taken at all times.
