The Project Assistant will provide support, advice within community settings across Belfast, supporting the Caseworker, providing information, inputs to third sector organisations, as well as direct 1 to 1, triage and referral support to asylum seekers.

The International Organization for Migration in the United Kingdom (IOM UK) delivers a range of programming which includes the provision of immigration advice and casework support to vulnerable migrants in the United Kingdom. IOM UK is a registered Immigration Advice Authority (IAA) Level 3 Immigration and Asylum and Protection organisation.

Under the direct supervision of the Senior Project Associate, Senior Programme Coordinator and Chief of Mission of IOM London, the incumbent will provide support to IOM’s team based in Belfast. The incumbent will also support the Caseworker, the Casework Supervisor and Senior Project Associate in liaising with relevant stakeholders on matters related to policy, project development, implementation, and reporting, as well as participate in external forums and meetings.

The Project Assistant will provide support and advice within community settings across Belfast, supporting the Caseworker, providing information and inputs to third sector organisations, as well as direct one-to-one, triage and referral support to asylum seekers. This will also involve working with interpreters where necessary.

Responsibilities and Accountabilities:

  1. Assist in the implementation and monitoring of project activities.
  2. Retrieve, compile, summarize, and present information/data on specific project topics.
  3. Monitor budget; verify availability of funds; obtain necessary approval and update budget related information.  
  4. Support administrative coordination of project implementation, involving liaison with diverse organizational units and external parties to initiate requests, obtain necessary clearances, process and follow-up on administrative actions, etc.
  5. Draft status reports, identifying shortfalls in delivery and bringing them to the attention of the supervisor.
  6. Draft correspondence, reports, briefing notes, graphics, statistical tables, presentations and other forms of documentation.
  7. Organize meetings, workshops and training sessions.
  8. Respond to general information requests and inquiries; set up and maintain files/records.
  9. Perform other related duties as assigned, including travel within the region as required.
