The Finance and Administration Officer plays a key role in supporting the organisation’s financial management and administrative operations. The postholder ensures accurate financial processing, supports budget management, oversees payroll, and maintains internal financial controls while also providing administrative support to enhance organisational efficiency.
Key Responsibilities
Finance Duties
- Maintain accurate financial records and ledgers using accounting software (e.g Sage Accounts and Payroll).
- Process invoices, receipts and payments.
- Support budget monitoring and forecasting processes.
- Process wages and prepare payments for salaries, HMRC and pension contributions on a monthly basis.
- Record and update any monthly sickness / carers absence / staff annual leave entitlement.
- Provide admin support for recruitment and selection - advertisements, scheduling interviews, applicant correspondence and staff induction.
- Reconcile bank accounts and petty cash monthly.
- Produce monthly and quarterly financial reports for management and funders.
- Monitor income and expenditure against budgets and highlight variances.
- Administer staff expenses and credit card reconciliations.
- Assist in fundraising and grant reporting processes, ensuring financial compliance.
- Ensure financial procedures are followed as well as taking an active role in their development.
- Provide relevant information to support fundraising bids and procurement.
- Maintain the organisation’s Asset Register
Administrative Duties
- Maintain accurate and confidential personnel and organisational records.
- Provide administrative support for board meetings, including preparing minutes, reports, and logistics.
- Act as the first point of contact for internal and external queries related to finance and administration.
- Support HR processes, including recruitment, onboarding, and maintaining HR records.
- Ensure compliance with data protection regulations and internal policies.
- Support the implementation of office procedures and maintain office supplies.
- Supervision of the Centre Support Assistant
- Coordinate insurance renewals, licenses, and contracts.
- Support CEO in updating MWG website and social media posts
- Actively participate in supervision and team meetings.
- Be aware of child and adult safeguarding policies and ensure compliance with them.
- Undertake any other relevant duties as requested by your line manager.
