The successful applicant will be supporting Ms Emma Little-Pengelly MLA in her Lagan Valley constituency office, and in particular dealing with enquires from members of the public
Wednesday and Friday
9am - 5pm
Main Duties of the role:
- Providing information/advice to constituents on a range of issues including, Housing, Welfare and Health, including local council queries.
- Managing and monitoring incoming calls, emails and enquiries
- Drafting letters/correspondence
- Updating/maintaining IT databases
- Managing and progressing portfolio of casework appropriately
- Ensuring enquiries are dealt with sensitively and confidentially
- Gathering relevant information to assist with resolving cases
- Retaining records and information confidentially and in line with the Data Protection Act and GDPR
- Ordering and managing stationery stock/office equipment
- Assisting in preparing for visits, events and meetings
- Attending meetings/conferences and training sessions as required
- Organising and providing secretarial support including minutes for meetings
- Assisting with MLA's diary management
- Identifying local community groups/key contacts
- Other duties as required in support of the MLA carrying out their Assembly duties
Essential Criteria
- Applicants must have 3 years minimum experience within a busy office environment involving advising and problem solving directly with the public.
- Experience in providing general administrative support including typing, filing etc
- Must have a working knowledge of Microsoft Office, Outlook/Emails etc
- Ability to work from own initiative and see tasks through to conclusion
- Previous experience dealing with inter-agencies and voluntary sector.
- Demonstrate a working knowledge of GDPR
Desirable Criteria
- Experience within a political environment would be advantageous
- Good problem solving and communication skills
- Good organisational skills and the ability to prioritise
- Knowledge of Stormont business and processes
- Awareness of local issues within the constituency.
