uHub Therapy Centre is a successful CIC providing counselling, psychotherapy, coaching, art/music/drama therapy along with EFT, mindfulness and group work. We have a strong reputation for our Huddle programme and our work with children with ASD, emotional and/or behavioural problems.
Job Purpose:
You will be providing full project administration support to the team, management and board. Including serving myuhub web app. The administrator will be responsible to the project manager.
Key Responsibilities include:
- Telephony - answering calls, passing messages to the relevant person(s)
- Servicing and arranging meetings (agendas, minutes, scheduling, follow up actions etc.)
- Diary management
- Liaising with multiple internal and external stakeholders on administrative matters concerning the project and administrative support in terms of project governance
- Dealing with queries from clerical staff/other Departments/External Consultants/ Contractors/Suppliers
- Making informed decisions and filtering calls for senior managers to provide a prompt and efficient service
- Working to agreed project procedures and with established project software (SharePoint, conject document management system, Microsoft office suite of software, Bacpac)
- Laisingwith community and voluntary services
- Updating myuhub web app
- Provide administrative support to the project office staff
- Provide secretariat support for Board of Directors
- Prepare a range of reports, on a wide range of information, ensuring that agreed timescales are met
- Reviewing working practices and setting up new information systems where appropriate
- Ensure Reports are available in a timely manner and operational staff/system users are adequately trained and supported
- Any other duties as required
Essential Criteria:
- Must have a minimum of 3-4 year's experience within a previous project administrator role
- Advanced Excel
- Previous experience of using spreadsheets (must be demonstrated)
- Strong knowledge of Microsoft Office Suite
- Excellent communication skills both written and verbal
- Ability to work under pressure and manage a busy workload
- Experience working in a mental health setting
- Ability to work as part of a team as well as on your own initiative
- Strong knowledge of local community and voluntary sector
- Proven experience of working in community and voluntary sector
- Leadership and coaching skills
Summary of main conditions of service
Salary: £21,074 per year (pro rata 20hrs per week) - £12,825 per annum
NJC Point: NJC Scale (2018), Point 22-25 (£19,819-£23,111) pro rata
Contract: Two year contract
Hours: Part-time - 20hrs per week
Place of work: Bangor, Ards and North Down
This role will involve regular one to one contact with children and adults with disabilities and / or mental ill health. Access NI checks will be completed for all applicants.
