Payroll Assistant

As a member of the Payroll team the Payroll Assistant is responsible for the preparation, accurate and timely processing of input in relation to the payment of staff and other related administrative duties. The post holder is a member of the Finance team

DUTIES & RESPONSIBILITIES:

 

Process and Performance Management

 

  • Collate timesheets and other information which relates to payments, e.g documentation on new starts, terminations, rate changes, tax code changes, statutory sick pay forms, sick pay forms, medical certificates
  • Check that all documentation received is properly authorized in line with college procedure
  • Input data from timesheets and other documentation.  Undertake checks to ensure accuracy of input
  • Calculate and input payment details for staff with more than one post and ensure costing is correct
  • Calculate authorised manual payments, and ensure accurate and timely posting, and ensure manual payments are subsequently recouped where appropriate
  • Calculate and input sick pay and maternity pay in accordance with appropriate schemes and statutory regulations
  • Calculate and input amounts for other college schemes such as the Cycle to Work and Childcare Voucher Schemes
  • Initiate and complete all documentation relating to terminations such as P45 tax form, pension forms where applicable
  • Maintain personal employee records, including master data, and in relation to sickness and absences
  • Supply information on routine enquiries from employees ensuring service levels set out in the Payroll Service Level Agreement are achieved or exceeded
  • Where appropriate, prepare and provide information to the HMRC, other government agencies, internal and external audit, and solicitors etc
  • Ensure all sensitive payroll documentation is stored securely and that all documentation is filed to provide a full audit trail
  • Preparation of ad hoc analysis and correspondence as required
  • Undertake payroll checks and activities to ensure appropriate segregation of duties is in place

 

 

General

 

  • To drive continuous improvement and to promote a culture of innovation in support services, through reviewing processes, systems and ways of working to ensure efficient and effective service delivery
  • To fully participate in the Department’s contribution to the achievement of the College’s mission, values and strategic directions.
  • To participate in relevant professional networks
  • Act, if directed, as Fire Marshall or Fire Warden
  • Carry out, if directed, the role of First Aider (subject to College policy & procedures)
  • To promote, implement and ensure compliance with all statutory obligations and College policies and procedures in particular the College’s Equality Scheme and Equal Opportunities Policy and actively promote equality and good relations in all aspects of college business.
