Events & PR Officer

The post holder will be responsible for providing event marketing and support for all key College and corporate events. In particular the post holder will be responsible for: PR and Media Relations Events marketing and management Event marketing support

MAIN DUTIES & RESPONSIBILITIES         

  1. Events Marketing and Management
  • Lead responsibility for providing advice, support and direction to staff on all College and Curriculum events including the College Open, Information Days and Community Engagement and Good Relation events
  • Responsible for the creative direction of all College Graduations including the annual Higher Education Graduation and newly established ceremonies for the Centre for Supported Learning and the Apprenticeship programmes
  • Provision of event management and event marketing support for all key VIP and stakeholder visits
  • Liaising with the Design team and the client to develop a theme for each event aligned to the College brand and the development of marketing collateral if required
  • Identifying and securing speakers, special guests; planning room layouts and the entertainment programmes
  • Work with the Campaigns and Events Assistant and Corporate Communications and Marketing Administrator in relation to events administration and event planning
  • Work with the Centre staff to produce detailed proposals for events (timelines, venues, suppliers, staffing and budgets)
  • Work closely with the Marketing and Corporate Communications Administrator to record and track all College events and disseminate to staff and update the events planner on the College website
  • Work closely with the Marketing and Corporate Communications Administrator in corresponding with a wide range of internal and external audiences and the creation of processes to support event organisation, scheduling, costing, management of critical paths, production schedules, site plans and coordinating staff requirements and staff briefings
  • Responsible for all internal briefings of College staff in relation to event format, roles and key duties
  • Handling client queries to ensure that all events run smoothly and in line with event guidelines and procedures
  • Working with the Estates and FM teams, internal staff and outside contractors to oversee the dismantling and removal of the event and clearing the venue efficiently
  • Working with internal clients and Centre for Marketing and Design staff to conduct post-event evaluations and produce event metrics
  1. PR & Media Relations
  • Assisting in the forward planning of all media and public relations for all events / activities
  • Writing and issuing news releases/media invites, staging photo calls and co-ordinating arrangements for events
  • Work closely with third party agencies, internal customers and external partners, proof reading articles before they are published, supplying the agency with the appropriate College contacts and liaising with the agency on a regular basis.
  • Work with College staff in writing and editing copy as required for corporate and curriculum events for external publications, internal newsletter, the College website and social media channels
  • Helping to identify and develop opportunities for positive media coverage in line with the PR operational plan and activity schedule
  • Work alongside the Digital Marketing Officer to provide copy and content for the news and events sections of the College website and social media channels
  • Liaising with the Publications and Outreach Officer and the Design team regarding supporting documentation / brochures for events and supplying stories and case studies for publications
  1. Recruitment, Income Generation and School Engagement
  • Work with the key College staff to provide event marketing support for key College corporate events,
  • Identify new product/service opportunities supporting the launch and introduction of new products and generating new revenue streams
  • To take the lead in developing the themes and college approach for Recruitment Open and Information Days
  • Support College Open days, careers conventions and school talks when required.
  • Assist with themed events and College projects such as ICT and STEM related events.
  • Work with Centre for Economic Development and Centre for Skills and Apprenticeships on communication plans for funded projects awarded to the College

Team Performance

  • Develop strong working relationships within the Centre for Marketing and Design to ensure that the College marketing objectives are met
  • Ensure that all work and output is of the highest quality following all standards as agreed with the Head of Corporate Communications and Marketing.
  • Remain up-to-date and informed of the College, its strategic directions, its products and developments.
  • Assist with the mentoring and supervising of interns and placement students based in the Centre for Marketing and Design
  • Produce metrics for monthly performance and KPI reporting
  • External Links and Partnerships
  • To develop and maintain key relationships with strategic partners (public/private/ community /local government/educational) to increase the sphere of influence of the College and to promote the College’s corporate position
  • To develop and strengthen partnerships and alliances with stakeholders, other education providers, employers, professional bodies, referral agencies and appropriate Government departments.
  • To represent the College at appropriate meetings and events as required
  • To represent Belfast Metropolitan College on sectoral and external working groups

  • To contribute to the achievement of the College’s mission, values and strategic directions.
  • To fully support the development of the College as a responsive provider of high quality services
  • To promote, implement and ensure compliance with all College policies and procedures.

  • To carry out other duties as assigned by the Head of Corporate Communications and Marketing and Senior Marketing Officer
  • Participate in the Colleges performance appraisal system
  • Participate in College developments, attend internal and external meetings and training programmes required
  • Adhere to general standards of conduct embodied in College policies
  • To implement and embed the College’s equality and diversity policies and respond to its equality and diversity duties as they relate to all stakeholders.
  • Act, if directed as fire marshal or warden
  • Carry out, if directed, the role of first aider
  • To undertake such other relevant duties as may be reasonably expected of the post holder.
