The post-holder will be responsible for supporting the project administration function of the new operationally transformative Learning Management System (ebs – Educational Business System) in Belfast Metropolitan College.

DUTIES & RESPONSIBILITIES:

 

1. Project Administration

 

· Providing administrative support to the ebs management and operational team.

· Organising project meetings, and assisting in preparation of Notes/ Actions from project meetings.

· Support the work of the ebs project implementation team.

· Developing and maintaining a robust filing system (electronic and hard copy), in line with the project requirements, and the College’s records management policy.

· Assist in the organisation of events, and the co-ordination of activities for the Project.

· Organising project related room bookings, and catering when required.

· To support the development and management of project databases.

· Schedule regular meetings, attend and record decisions for the college LMS project board and the college project operational leads team.

· Document procedures for the administration of the LMS project.

· Maintain a college help desk for college users of the new LMS system both at the testing phase and go live phase for each new work stream.

· Organise, maintain and update the project Team’s share point site with all relevant documentation and files for each work stream.

 

2. Risk and Issue Monitoring

 

· Maintain project risk register/s, monitor project risks and escalate to project manager.

 

3. Information Assurance

 

· Ensuring the project administration role follows best practice in terms of Information Assurance and adheres to the new Government Data Protection Regulation (GDPR) effective from 25th May 2018.

 

4. External Collaboration

 

· Work with TRIBAL (LMS solution provider) leads on all the administration aspects of the LMS project.

 

5. Key Working Relationships

 

· In order to achieve the above aims, this role will involve a high level of collaboration with a wide array of College staff and other stakeholders including:

o College Project Board which includes college senior management.

o College Project Operational Team which includes workstream functional leads.

o College LMS system users.

o FE Sector staff from other colleges.

o TRIBAL staff

 

6. General

 

· To contribute to the achievement of the College’s mission, values and strategic directions.

· Participate in the Colleges performance appraisal system.

· Participate in College developments, attend internal and external meetings and training programmes as required.

· Adhere to general standards of conduct embodied in College policies.

· To implement and embed the College’s equality and diversity policies and respond to its equality and diversity duties as they relate to all stakeholders.

· Act, if directed as fire marshal or warden.

· Carry out, if directed, the role of first aider.

· To undertake such other relevant duties as may be reasonably expected of the post holder.
