Clerical Officer/Club Secretary

The post holder will be required to provide administrative, clerical and secretarial support to the Centre Manager and other members of the Club Team, produce accurate and timely payments of payroll to all employees on a weekly, lunar or monthly basis
  • Co-ordinate in the introduction, development and operation of any IT package as required
  • Use a range of ICT packages including Word Processing, Spreadsheets, Database packages and Sage accounts software as required
  • Prepare computer data which may include the completion of provided template forms, retrieve information from the system and process as required
  • Deal with correspondence from the general public and other bodies in a professional and confidential manner
  • Sort incoming mail and distribute same appropriately, and ensure that outgoing mail is despatched on a daily basis
  • Manage manual and ICT systems in connection with budgets as required
  • Communicate with relevant personnel and provide assistance in relation to financial procedures
  • Provide administration in connection with the full range of youth service schemes
  • Ensure returns to accrediting bodies are maintained and accurate, follow up on certification
  • Monitor expenditure of allocated budgets and report to line manager
  • Be responsible for recording and maintaining employment details of staff
  • Arrange for the maintenance of equipment and plant
  • Reception and telephone duties include; receive  visitors to the centre, deal with routine queries; make and receive telephone calls, record messages accurately and, where appropriate answer calls directly
  • Maintain filing systems and prepare and organise data
  • Photocopy/collate materials as required
  • Verify payment details of working time, holidays, sickness, maternity and various allowances from authorised timesheets and other source documents
  • Key all relevant data on the computerised payroll system
  • Check output reports and verify accuracy of all payments and deductions to ensure accuracy prior to release for payment
  • Administer all individual records and documents necessary to comply with current regulations and legislation
  • Receive, receipt and account for all cash received
  • Bank monies and maintain banking records
  • Operate and maintain the petty cash float
  • Complete all relevant correspondence both internal and external in relation to payment of salaries and wages, income tax, national insurance, pension and other deductions;
  • Maintain all records and documents
  • Any other duties which may reasonably be assigned.
