ASSEMBLY CONSTITUENCY ADMINISTRATION CLERK

The successful applicant will be providing administration support to Mrs Pam Cameron MLA in her busy constituency office and in particular dealing with enquiries from members of the public. Working Hours will be discussed at interview

Main Responsibilities will include:

  • Providing general admin support (typing, emails, phone calls, distributing mail, filing, photocopying, etc.)
  • Providing information/advice to constituents on a range of issues including, Housing, Welfare and Health, including local council queries.
  • Managing and monitoring incoming calls, emails and enquiries
  • Managing correspondence
  • Updating/maintaining IT databases
  • Managing and progressing portfolio of casework appropriately
  • Ensuring enquiries are dealt with sensitively and confidentially
  • Gathering relevant information to assist with resolving cases
  • Retaining records and information confidentially and in line with the Data Protection Act and GDPR
  • Assisting in preparing for visits, events and meetings
  • Attending training sessions as required
  • Organising and providing secretarial support including minutes for meetings
  • Other duties as required in support of the MLA carrying out their Assembly duties

 

Essential Criteria

  • Applicants must have 1 years minimum experience within a busy office environment involving advising and problem solving directly with the public.
  • Experience in providing general administrative support including typing, filing etc
  • Must have a working knowledge of Microsoft Office, Outlook/Emails etc
  • Ability to work from own initiative and see tasks through to conclusion
  • Minimum 1 years experience dealing with inter-agencies and voluntary sector.
  • Demonstrate a working knowledge of GDPR

 

Desirable Criteria

  • Experience within a political environment would be advantageous
  • Good problem solving and communication skills
  • Good organisational skills and the ability to prioritise
  • Knowledge of Stormont business and processes
  • Awareness of local issues within the constituency.
