We are currently recruiting a Services Administrator to support our Services Team, providing Specialist support to families affected by cancer in Northern Ireland.

Role Overview

Working closely with the Services Manager, the post-holder will be responsible for providing professional, efficient administrative assistance, ensuring that the Services Team are fully supported at all times.

Main Duties and Responsibilities:

1. To assist the Services Manager by collating the monthly and annual statistical reports from individual community specialists.

2. To be responsible for managing and maintaining the Services database.

2.1 Provide all new staff with an overview of the services database, structure and input.

3. To accurately and efficiently process all new referrals by ensuring details are on the database, letters of receipt are issued and the process is complete to point of allocation to Specialist.

3.1 To liaise with referral agencies to ensure accurate information is collated for processing and recording referral data.

4. To process Cancer Fund for Children financial grants for families in an accurate and timely manner.

4.1 To ensure that all financial grant applications are with the Finance Department within
the week received and that all information is safeguarded in keeping with the Cancer Fund for Children data protection policy.

4.2 To produce a monthly report for the Director of Services and the Services Manage detailing all grants which have been paid and all grants that are outstanding.

5. To manage, replenish and balance the Services Team petty cash adhering to the Financial Department process.

6. To provide an efficient and effective system for filing and retrieval of documents and correspondence.

7. To organize and facilitate the annual Services Christmas Party, efficiently co-ordinating venue, panto cast, toys, staff, photos and Santa visits.

8. In the absence of the Services Manager, provide support and direction to Services Team volunteers

9. To comply with all Cancer Fund for Children Policies, procedures and guidelines and current legislative requirements

10. To perform any other reasonable duties and specific projects as assigned by the Director of Services and the Services Manager to contribute to the overall aims of the Cancer Fund for Children.
