Job Description and Person Specification

 

Title of Post:      Part-time Shop Manager, Restore Clothes Shop, Newtownards Road

Location:             355 Newtownards Road

Reports to:         Operations Manager

Salary:                  £8,564 per annum (£7.32 per hour)

Hours:                  22.5 hours per week (3 full days on a rotation basis)

Leave:                   20 days plus 12 statutory day’s pro-rata

Pension:              A group personal pension scheme is available after successful probation

Health Care:      An employee health care plan is available

Expenses:           An allowance is paid in respect of mileage undertaken in the course of business

Overall Responsibility

 

To be responsible for the day-to-day operational activities of East Belfast Mission’s Restore Clothing charity shop.  The position requires excellent skills in communication, customer care and an ability to work within set financial targets.  At all times the Shop Manager should maintain the stability and reputation of the store by complying with the Shop Handbook and legal requirements.

 

Main Areas of Responsibility

 

Financial Administration

  1. Maintain financial procedures as set by the Director of Business Development
  2. Take responsibility for the shops administration and accounting procedure, including till operations, daily banking, weekly accounts and any other administration duties as required
  3. Report to Operations Manager any financial irregularities that may arise in the shop
  4. Comply with EBMs handbook on the Management Information System, ensure that all users are competent and use personal sign in details at all times.

 

Sales

  1. Provide polite and courteous customer service when dealing with customers face-to-face, on the telephone and when dealing with complaints
  2. Work consistently to meet set sales targets and increase profits
  3. Sort and select appropriate safe items for sale from donated goods and maintain correct level, quality and rotation of stock in accordance with FRN requirements and the Shop Handbook
  4. Analyse store trends in order to select appropriate items for sale.
  5. Ensure a high standard of presentation, display, merchandising and pricing of stock according to East Belfast Mission’s retail standards
  6.    Develop innovative ideas for the advertising and sourcing of stock
  7. Ensure the security of stock on the shop floor and stock room, and to report any irregularities to the Operations Manager
  8. Ensure that the shop, stock room and other facilities are clean, tidy and safe at all times
  9.   Co-ordinate the collection, recycling and sales of clothing
  10.   Comply with all current legislation on the sale of second hand goods and in accordance with FRN requirements
  11. Promote EBMs loyalty card and encourage customers/donors to sign up to Gift Aid

 Staff

  1. Maintain and develop store volunteers and placements through recruiting, selecting, mentoring, training and effective management
  2. Maintain operations by co-ordinating and enforcing EBM operational and personnel policies and procedures
  3. Ensure induction is completed and signed off by all new team members prior to commencing employment in accordance with EBM policy
  4. Coordinate and participate in training and developing team members ensuring thorough product knowledge, quality control skills, efficient service, time management, exceptional customer service and personal appearance.
  5. Delegate work to staff and manage their workload and output
  6. Implement and manage a suitable rota system for the store and ensuring cover for holidays.
  7. Develop relationships with other restore and refurb managers and contribute to the overall team effort.

 

Health and Safety

  1. Ensure that the workplace for which the post holder is responsible is maintained appropriately and in accordance with East Belfast Mission’s Health and Safety Policy and relevant Health and Safety Legislation
  2. Ensure that all volunteers, placements and staff are trained in all aspects of Health and Safety
  3. Complete relevant Health and Safety checklists as instructed by the Operations Manager

 

Other Requirements

  1. To observe equality of opportunity in all areas of the day-to-day work for which the post holder has responsibility
  2. To undertake East Belfast Mission training and other training as agreed
  3. To actively participate in the implementation of the Performance Management System and any assessments
  4. To have, and ensure that all team members have, a clear understanding of Gift Aid requirements and procedures.  Ensure that the management of completed Gift Aid forms complies with EBM data protection policy.
  5. To undertake any other duties which may from time to time be requested by the Operations Manager or the Director of Business Development, which are appropriate to the duties and responsibilities of the post

 

Person Specification

 

Essential criteria

  • Minimum of two year’s retail experience at management level
  • Experience of achieving a retail weekly income target and working within set budgets.
  • Ability to motivate and to delegate to staff, placements and volunteers
  • Excellent organisational skills
  • Excellent communication skills
  • Positive and flexible approach
  • Must be prepared to travel for training purposes and meetings when required
  • No health problems that would adversely affect the ability to carry out duties (some manual handling required)
  • IT Skills and knowledge of Microsoft Office packages
  • Working hours will include Saturdays and may include late evenings.
  • An appropriate method of travel to fulfil duties of post

 

Desirable criteria

  • Experience of working with volunteers in a retail environment.
  • Experience of second-hand furniture/clothing sales
  • Experience of working with a Management Information System
  • A clean driving licence with access to a vehicle

 

 

Additional information

This position gives the post holder access to vulnerable adults and will therefore be required to disclose details of any criminal convictions, including spent, bind-over orders and cautions in accordance with the Access NI Vetting and Baring Scheme and our organization’s Protection of Vulnerable Adults Policy and Procedure.  An AccessNI check will be carried out, and in applying for this position, you are in agreement for the organisation to carry out this necessary check.
