The Job

 

The Quality Officer, under the direction of the Quality Manager will be responsible for the quality improvement process within the company ensuring that our delivery of service is in line with minimum standards.

The Person

The Quality Officer will have responsibility for the management of quality issues within a region working closely with the Regional and Area Managers. The person will be self-motivated with the ability to work on their own initiative ensuring deadlines and targets are being met.

 

 

KEY RESPONSIBILITIES AND ACCOUNTABILITIES

Quality Improvement process – Community Complaints

  • When a Quality Improvement form is raised, start process as follows:
  • Liaise with relevant manager to collect further information and agree course of action
  • Arrange and carry out independent preliminary investigations under the direction and guidance of the Quality Manager in response to:
    • Complaints
    • Adverse Incidents
    • Accidents
    • Near Misses
    • Grievance
  • Ensure letters contain accurate information before being sent out.
  • Identify urgent issues arising from preliminary investigation reports and inform Quality Manager in accordance with agreed timeframes;
  • Complete Full Investigation Reports in accordance with agreed standards and timeframes.
  • Present to and provide clarification on Full Investigation Report as requested by the HR Department
  • Liaise with Regional/Office/Area Manager with regards to the completion and sign off of Quality Improvement forms.
  • Ensure Quality Improvement Form/process is signed off within 28 days
  • Ensure contract compliances are processed within relevant timeframes for each Trust area.
  • File numerically all signed off Quality Improvement Forms

On Call

  • Analyse On call every morning and complete follow up where required:
    • Identify any incidents that need to be reported to the relevant regulatory bodies eg RQIA, NISCC.
    • Follow up with relevant Manager if QIF needs to be raised following an incident/complaint etc

Departmental Audits

  • Conduct quarterly audits in the following departments: HR and Training.
  • Review operational audits and report on the quality status of all audits completed

External Inspections and Audits

Assist Quality Manager in the preparation for the above

Recording and Reporting

  • Accurately manage and maintain all relevant aspects of Management Information System;
  • Timely reporting to RQIA of adverse incidents as per RQIA reporting schedule
  • Prepare and assist in the preparation and presentations of:
    • Monthly Reports;
    • Yearly Reports;
    • Quality Trend Reports;
  • Complete KPI’s and report to Quality Manager in accordance with agreed timeframes and standards.

Client Satisfaction survey

  • Assist with the administration of annual client satisfaction survey
  • Assist with analysis of client satisfaction survey.

Perform any other duties as and when required by the Quality Manager.

SPECIAL CONDITIONS

  • This post requires the holder to be available at varying times, which may include early morning and late evening work and may involve an on call rota system.  The post holder may be required to work weekends and bank holidays when required. 
  • To carry out other duties and responsibilities commensurate with the post and the needs of the organisation in order to develop and maintain service delivery. 
  • The post requires the holder to have a clear disclosure check in accordance with the regulatory body Access NI. 
  • Ensure all information of confidential nature is not divulged to third parties
  • Notify the office or Oncall facility as soon as possible of your inability to report for duty and abide by the company policy on sickness and absence
