The principle duties of the post are:
Administration
-
To provide administrative, clerical and secretarial support to the Director and Management Committee.

To prepare financial requirements for funders in relation to verification, bank reconciliations and petty cash.

To carry out HR tasks such as managing PAYE and Pension system, compilation of timesheets, sick records and carry out
-
To greet clients, volunteers, clients of the public and representatives of other agencies/organisations in a friendly and professional manner and provide hospitality as required.

To ensure adequate stock of resources is maintained.

To record statistics of service users for the purpose of producing evidence for funders as per policies and procedures.

To prepare, organise and oversee monitoring requirements in line with policies and procedures.

To assist with organising residentials, conferences, seminars, fundraising events and meetings etc. as planned.

To attend various meetings and take minutes for transcription and dissemination.

Information Technology
- To maintain and update confidential database systems to provide necessary reports on a regular basis
- To fully utilise Windows XP/Windows 7 and all aspects of Microsoft Office Suite for all word processing of documents, letters, reports etc.
- To undertake all photocopying, filing and faxing as required etc.
Management
-
- To organise weekly team meetings and minute accordingly. To assist with monthly Management Board meetings and preparation of documentation e.g. Agenda, Staff reports etc
- To maintain and improve systems and/or contribute to the implementation of change in systems.
Volunteer Co-ordination

- To assist in the recruitment and training of volunteers for both the office and charity shop, and assist will all aspects of smooth running within the charity sho
- To provide administrative support for Volunteer
- To assist in the delivery of initial induction for all those on work experience/placement, taking responsibility for those on work experience in the area of Administration
- To assist with the recruitment of volunteers for all areas of work experience and support thereafter.
Financial Duties

- Timely and accurate processing of payment of invoices
- Operate requisitioning procedures including the ordering, purchasing, receiving, checking, recording and distribution of relevant supplies
- Provide reports and bank reconciliations for month management team meeting.
