Office Manager (Evening & Weekends)

The post holder will be responsible for managing the out of hours function team and providing out of hours services throughout Northern and Southern Ireland.

Duties and Responsibilities 

  • Management responsibility for the operation of the out of hour’s service, ensuring a smooth, efficient service delivery.
  • Implementation of policy & procedures, internal and external that affect and influence the work of the service.  Ensure staff are made aware of these at the appropriate levels.
  • To participate actively in the management of the on call budget working with the

Operations Manager to ensure the optimum use of resources.

  • Take responsibility for all aspects of data quality and data integrity ensuring

compliance with statutory requirements in relation to security and confidentiality.

  • To monitor and ensure compliance to all KPI’s and all Quality monitoring processes.
  • Ensure that there is adequate staff training in the use of on-call procedures and technology, identifying a minimum knowledge base for all staff and appropriate levels for development. 
  • Ensure all staff work to the minimum standards of regulatory bodies (NISCC & RQIA) 

Human Resources 

  • Maintain a well-motivated and proactive team.
  • Manage staff, including overseeing recruitment, development and performance.  Provide an appropriate induction program for new staff and set up implementation of continued personal development plan.
  • Supervise the on call rota to ensure that the service is adequately staffed at all times and ensure that payroll information is completed and forwarded to Finance.
  • Manage implementation of grievance issues, sickness/performance monitoring and disciplinary investigations with advice from the HR/Quality team. 
  • Participate in complaint resolution, including investigating and responding to complaints. 

Management

 To undertake any other duties at the request of the Operations Manager which are commensurate with the role, including project work and absence cover.

  • To improve quality and performance levels of individual staff through supervision and performance management. 
  • During service delivery ensure the following occurs:
    • The service runs to its optimal capacity and all on call coordinators provide exceptional service to our clients, care assistants and other healthcare, social care and mental healthcare professionals they may encounter.
    • Ensure that there is effective communication with team members for ongoing updates, escalation of concerns/changes acting accordingly.

 Personal Development

 Maintain professional knowledge and competence on both company policies and regulatory standards.

  • Attend training courses and updates as deemed necessary.
