Grants Support Officer (Space and Place Programme)

The Grants Support Officer will be part of the Space and Place Programme Team and responsible for the overall administrative needs of the Programme to ensure its effective delivery.

Maintain a central record of grants sub-committee meeting dates
Send reminders to grantees to request outstanding information
Prepare and issue papers for Steering Committee meetings, attend meetings, record minutes and decisions/action and maintain a typed record
Ensure that monitoring and financial forms are issued to all projects on time
Follow-up on monitoring forms and financial returns not submitted to enure project milestones are adhered to
Record issue and returns of monitoring forms on the grants database
Record beneficiary information subitted as part of the monitoring form
Forward to allocated Project Case Offier monitoring forms for approval and follow up with grantees on any clarification required
Forward to Finance Officer Quarterly Expenditure Profiles for approval and follow up with grantees on any clarification required
Prepare and run reports from database as required by Programme Coordinator/staff, CFNI Trustees, BIG and other bodies
Photocopy documentation as and when required by Finance Officer
Assist Programme Coordinator in the collation of Quarterly Reports and Annual Reports as required by Big Lottery and Public Health Agency
Follow up on recommendations made by Space and Place staff in relation to Onsite Verification Visits to ensure requirements are met inlcuding review of policies
Respond to daily telephone, email and written enquires from grantees and other in relation to the Space and Place Programme and pass such queries to other staf members.
