PROJECT OVERVIEW

Arts Care is a leading Arts in Health organisation. The organisation delivers a wide range of participatory and commissioned arts programmes at the heart of health and social care settings and services across Northern Ireland.

The Pushkin Trust is a leading Arts and Environment organization that delivers a wide range of arts and environment participatory programmes at the heart of education across Ireland.

Both organisations are partnering for the second year on ‘Let the Dance Begin Again’ Project (Phase 2 pilot project). They are now welcoming tenders for a part-time, self-employed Arts Project Coordinator for a period of 3 months to co-ordinate the Let the Dance Again Arts/Environment Town Well-being Project in Strabane and local area, Co Tyrone. The organisations require a highly organised, self-motivated project coordinator with excellent organisational, research, computer and technical skills to work closely with the CEO/Artistic Director of Arts Care and Director of the Pushkin Trust. The post is wide-ranging and encompasses a range of responsibilities.

Let the Dance Begin Again 2014/2015 is the second phase of an exciting town health and well-being project. Phase one of the project was successfully delivered during 2013/2014. The project engages the town citizens in a series of intense arts and creative environment workshops/activities across multiple arts forms. The project is delivered over a six week period January – February 2015. The project engages with:

1)                       Young People Services-children, young people with and without disabilities in contexts such as Health, Education and Community settings

2)                       Adult Services

3)                       Older well people Community/Education and Healthcare Services

4)                       Older people living with the challenges of conditions such as dementia, Parkinson’s disease and who may live in residential care or attend day care facilities

5)                       Family Services

6)                       Inter-cultural groups

7)                       Mental Health Services

8)                       Learning and Physical Disability Services

9)                       Business personnel

10)                   Local organisations

11)                   Strabane District Council

12)                   Western Health and Social Care Trust

13)                   The Public Health Agency

 Project Description

 The Project Coordinator is responsible to:

  • Arts Care Chief Executive Officer/Artistic Director of Arts Care

 Main responsibilities are to provide coordination support to:

  • Arts Care Chief Executive Officer/Artistic Director
  • Director of The Pushkin Trust

 The main responsibilities of the Project Arts Coordinator are to co-ordinate all aspects of the co-ordination and administrative function relating to the Let the Dance Begin Again Project. This will include, but is not limited, to:

  • Supporting the Chief Executive Officer/Artistic Director as required and directed in relation to all aspects of the project activity
  • Supporting the Pushkin Trust Director as required and directed
  • Coordinating all duties relating to the project planning, implementation, evaluation, administration, programme scheduling, contracting of project facilitators/personnel, hire of facilities/venues for all project activity, undertaking risk assessments where appropriate, reports and other documents and duties relating to the project as directed by the Chief Executive Officer/Artistic Director
  •  Processing all paper work in support of the Let the Dance Begin Again
  • Coordinating, as directed, all volunteers for the project
  • Liaise and communicate with all project stakeholders e.g. in healthcare/education/ and business
  • Supporting the CEO/Artistic Director for all meetings relating to the project including Board Meetings, when required
  • Where appropriate, dealing with enquiries from the press, community groups, organizations and general public
  • Undertaking Marketing and PR duties
  • Provide co-ordination support for the organisation of all events around the project including pop-up art studio, art exhibitions and end of project large-scale community performance at the Alley Theatre in Strabane town
  • Develop and maintain data base around the project
  • Correspondence and communication duties; via e-mail and telephone
  • Filing; computerised and manual
  • Using where appropriate as directed and with consent social media
  •  Develop and regular update as directed of Blog/Twitter around the project development etc.
  • Undergo project induction relating to the Pushkin Trust and Arts Care values and principles, policies/procedures including Health & Safety and Child and Vulnerable Adult Protection Policies etc.

 All tenders submitted must clearly demonstrate how the applicant fulfils the following essential criteria:

  • 3 years’ experience as a programme/project coordinator in the arts or/and education/healthcare
  • Experience in all aspects of co-ordination and office administration
  • Experience of marketing and/or public relations
  • Experience in formal minute taking and report writing
  • Relevant computer experience that includes Internet, Email, Databases,    Spreadsheets (Excel) and word processing
    • Ability to work under pressure
    • Excellent written, communication and presentation skills
    • Willingness to work flexible hours
    • The ability to work unsupervised
    • Flexibility of approach when working with different groups
    • The ability to use own initiative
  • A pleasant personality, good interpersonal skills and ability to work with others as a member of a team
  • Hold a current driving license and/or access to a form of transport, to fulfil the requirements of the post

 The following desirable criteria will also be taken into consideration:

  • Experience in processing paperwork for funding application forms

 FORMAT OF RESPONSE

  • The credentials of the applicant.
  • Details of 2 referees.

 CONTRACT TERM

 The appointment will commence end of November 2014 to the end of February

 TERMS AND CONDITIONS 

  1. The duration of the services will span across 14 week period on average from commencement of contract over a period from end November 2014 – end February 2015.
  2. The service required demands flexibility but will be provided on a basis on an average of 2 days per week at 7.5 hrs per day. The days and hours are flexible but must meet the regular scheduling needs of the particular project.
  3. In the event of any absence, the Project Arts Co-ordinator will be required to report to the CEO/Artistic Director and discuss alternative arrangements for delivery of the needs of the project.
  4. In the event of a public holiday conflicting with the agreed Arts Care working day, the Co-ordinator will be required to make up time accordingly.
  5. The Project Co-ordinator will be required to follow all requirements and training from Arts Care and the Pushkin Trust on matters of health and safety, infection control, confidentiality, child and vulnerable adult policy and ethical practice.
  6. Travel expenses will be borne by the service Arts Co-ordinator.
