Salary: £10,816 to £13,101
- Managing the switchboard.
- Greeting guests and assisting visitors at reception area.
- Managing the distribution and franking of internal and external mail.
- Managing the Council's electronic mailbox.
- Ensuring that all general enquiries and requests for information are logged on to the QA database on a timely basis.
- Assisting in updating and managing Council records which includes filing, opening new files, archiving, destroying and transferring files to PRONI.
- Monitoring stationery levels, re-ordering supplies when necessary and maintaining order in storerooms.
- Shelving books and publications in the reference library.
- Organising travel arrangements for staff.
- Maintaining and updating purchase order register.
- Providing assistance in maintaining equipment eg replacing toners, clearing paper jams and reporting faults to appropriate suppliers.
- Assisting with the provision of administrative support for meetings, including copying, brailling and distributing papers and arranging attendance, room layout, catering and clearing up.
- Provide administrative support to management as required.
Essential Criteria
Qualifications
GCSE/GCE ‘O’ Level at grade C or above in five subjects, including English Language and Maths (or equivalent).
Relevant Experience
- A minimum of six months experience of working in an administrative role.
- Experience of office administration procedures including filing, monitoring stationery levels and reordering supplies when necessary.
Special Aptitudes
- Good communication skills, both written and oral. Good general IT skills including the use of Microsoft Word, Excel, Access, Outlook and Internet. Ability to work without close supervision. Experience as working as part of team.
