Salary: £14,000 per annum
Probationary period: 3 months
Annual Leave: 22 days
Working Hours: 35 per week
General Description of Post
- The successful candidate will be based in the Indian Community Centre at 86 Clifton Street, Belfast.
- The successful candidate will be required to work to ensure that the Indian Community Centre has effective administrative systems and clear financial records.
- The successful candidate will be responsible to the management/executive committee of the Indian Community Centre, and will be required to work in a full and cooperative supporting role.
Main Areas of Responsibility
- Establish where necessary, and maintain all administrative systems for the Indian Community Centre.
- Greet visitors to the office and make them welcome at all times making available, if possible, information requested.
- Ensure that requests from the public and community are received and dealt with directly, or passed on to appropriate agencies.
- Ensure attendance at meetings as directed and take minutes as required.
- Monitor and order materials, office goods and services.
- Recording and distributing incoming and outgoing mail.
- Maintain correspondence/communications, incoming and outgoing via telephone, e-mail and fax.
- Maintain all aspects of financial management and administration, especially maintenance of adequate financial management and control systems, preparation of funding budgets, regular interval financial progress reporting and coordination of external auditing needs.
- Maintain a diary for events, which involve the Centre, its staff, volunteers and Committee Members.
- Prepare regular (currently monthly) Newsletter to all members.
- Create and maintain various databases.
- Liase with web design organisations in order to maintain and update information on the Indian Community Centre’s web site.
- Promote where possible facilities of the Centre in order to generate income.
- Make contact with funding bodies and make applications.
- Maintain strict confidentiality in relation to the work undertaken.
- Provide administrative support for the Good Relations Officer and the Programme Manager.
- Undertake any other tasks and duties deemed appropriate by the Executive Committee.
