ASCERT (Action on Substances through Community Education and Related Training) has an opportunity for a Finance Administrator
Supporting ASCERT's Finance Officer in the maintenance of financial systems across the organisation the position has also some personnel responsibilities.
Position: Finance Administrator
Term: one year initially
Hours: 35 hours per week
Salary: £16,500 per annum
Pension: 4% of annual salary
Responsible to: Finance Officer and Project Coordinator
Essential Criteria
- At least three years' recent experience supporting, implementing and maintaining financial and administrative systems for an organisation.
- GCSE level pass or equivalent in English and Maths.
- Excellent IT skills, with a working knowledge of Microsoft Office – Excel and Sage Instant Accounts.
- At least two years' experience of cash handling, banking and book keeping.
Desirable Criteria
- Experience of EU funding finance requirements and monitoring
- Experience of working in the voluntary or community sector.
- Experience of payroll either manual or Sage version 10.
- Ability to work to deadlines.
- Report writing skills.
- Ability to work on ones initiative and as part of a team.
- Excellent written and verbal communication skills with a professional and methodical approach to work.
- Experience of Personnel administration.
Main Duties
- To support the organisations finance officer in maintaining a computerised accounts system.
- Provide specific management information on a recurrent and ad hoc basis.
- Daily bookkeeping, credit control, banking and cash handling.
- To support and develop finance and administrative systems for the organisation.
- Develop and maintain financial systems for ASCERT’s social economy project.
Responsibilities Finance
- To maintain a computerised accounts system.
- To provide financial information to the Finance Officer.
- To provide calculations of income / expenditure spreadsheets and budget projections.
- To be responsible for general petty cash transactions and periodic checks of specific project petty cash.
- To provide calculations of quarterly returns for all relevant funded projects.
- To attend finance meetings relating to projects.
- To produce finance reports as necessary.
- Accounts receivable and payable.
- Monthly bank reconciliation.
- Provide support to the finance officer for monthly payroll.
- To maintain confidentiality about all correspondence, personal information etc that may become accessible through the responsibilities of the post.
- Purchasing of general office supplies and maintaining purchase order and invoice databases.
- Annual audit preparation.
- Administrative support when necessary.
Other
- Attend team meetings.
- Provide progress reports as required.
- To carry out duties that the Finance Officer, Coordinator or Management Committee may require from time to time.
- Maintaining personnel records.
- Providing support in recruitment and selection process.
