Key Responsibilities

  1. Deal with all correspondence drawing attention to urgent matters.
  2. Type letters, memos and reports and maintain office diaries.
  3. Arrange meetings by preparing and sending out notices, agendas, minutes and other documentation relevant to the meetings.
  4. Record minutes of meetings where necessary.
  5. Maintain and update database specific to Sure Start programmes.
  6. File materials in a systematic manner.
  7. Deal with telephone enquiries and respond to routine requests for information.
  8. Maintain confidential files.
  9. Order stationery/resources.
  10. Assist with hospitality for visitors to the office.
  11. Participate in staff induction, training and development programme, project meetings, team meetings and supervision as required.
  12. Undertake any other relevant duties as considered appropriate by the Coordinator or Management Board.

Essential Criteria:

  • Minimum of 5 GCSE’s grade A-C or equivalent, including English Language or NVQ Level 2 (or equivalent) in an Administration/Business related subject
  • At least three years administrative experience
  • Understanding of the need for professional confidentiality.
  • Excellent inter-personal and communication skills, both oral and written.
  • Ability to work unsupervised and on own initiative.
  • Ability to work as part of a multi-disciplinary team.
  • Ability to work flexibly.
